What you’ll do
- Provides administrative support to C-level executives
- Collects and prepares information for use in discussions/meetings of executive staff and outside individuals
- Prepares presentations for board of director meetings
- Calendar Management with attention to accuracy, timeliness, conflict resolution and alignment to the leader’s priorities and commitments that includes teams spread geographically across the globe
- Effectively utilize the leaders’ bandwidth through calendar management and monitoring for time efficiency
- Partnering with leaders and executives to prepare and or coordinate internal and external engagements and communications as required
- Create slide decks and meeting materials on behalf of the executive leadership team
- Cross collaborating, planning, and managing logistics for leader’s team meetings such as all hands, staff meetings, morale events and team offsites
- Assist with developing and coordinating the annual discretionary budget and headcount
- Ensure smooth execution of travel schedules (when appropriate)
- Distribution lists ownership and management for the leaders’ teams
- Purchasing equipment, services, and supplies, creating purchase orders and processing invoices
What would set you up for success
- 7+ years experience in supporting C-level executives overseeing 400+ person organizations
- Experience in high growth / hyper growth organizations
- Proven experience managing multiple conflicting priorities without loss of composure
- A solution focused approach and ability to make sound decisions by applying experience and judgment
- Demonstrated experience support geographically dispersed teams remotely
- Participating in meetings, speak on behalf of the executives, and run on action items
